About Your Role:
Aspen Infusion is seeking a Senior Manager of Admissions to lead our intake and admissions function in a fast-paced, high-volume home infusion environment. This is a strategic leadership role — you'll directly manage our Intake Manager and, through them, guide the broader Intake team, while serving as the key liaison between Admissions and executive leadership on staffing, budget, and workflow initiatives.

Schedule: Full-Time, Monday - FridayKey Responsibilities:
Leadership & Team Development
- Lead, mentor, and develop the Intake Manager, with escalation support for Intake Coordinators and Administrative Assistants
- Set operational objectives aligned with business strategy and monitor team performance against KPIs
- Conduct performance reviews and build a culture of accountability and continuous improvement
- Oversee staffing, scheduling, and workload distribution across the admissions team
Process & Workflow Optimization
- Own the end-to-end referral flow: registration, insurance verification, copay collection, and documentation
- Identify and implement process improvements to streamline and scale intake operations
- Resolve escalated patient and referral source issues with sound judgment
- Report on admissions and customer service performance to the COO
- Monitor department spend against budget
Cross-Functional Collaboration
- Partner with Sales leadership to strengthen referral source relationships
- Coordinate with Billing/Revenue Cycle, Pharmacy, and Nursing to ensure consistent, patient-centered service
- Recruit, hire, and develop admissions staff alongside HR
Compliance & Quality
- Ensure department operations meet or exceed accreditation and regulatory standards
- Support Performance Improvement initiatives and inspection readiness

What You Bring:
- 5+ years of experience in intake, admissions, or customer service operations within healthcare, home infusion, or specialty pharmacy
- 2+ years in a supervisory/management role overseeing other leaders (managing managers)
- Strong proficiency in Microsoft 365 (Outlook, Word, Excel, SharePoint) and Microsoft Teams
- Experience with Paylocity and/or CareTend a plus
- Excellent organizational, delegation, and decision-making skills
- A 4-year degree is preferred but not required — equivalent experience will be considered
Physical Requirements:
Ability to stand, walk, and sit for extended periods; occasional lifting up to 30 lbs; close and distance vision required.
